The data controller is Khan & Co Ltd T/a Staines & Co, company number 04488189 of 235 Foxhall Road, Ipswich, Suffolk, IP3 8LF, with Information Commissioner’s Office registration number ZA149167.

In most cases, where we are exercising professional judgement in our work, Staines & Co will be a data controller together with the client for personal data. In the case of payroll clients Staines & Co will be a data processor.

The reason we hold your personal data

We may obtain, use, process and disclose personal data to:

• undertake quality, security and risk management activities;

• provide you with information about us and our services;

• develop our business and services;

• comply with legal, regulatory or professional body requirements.

• For corporate clients we may need to process other personal data to provide professional services, for example to review payroll as part of the accounts preparation. We collect personal data from the client or a third party acting on the client’s instructions and we ask the client to provide the necessary information to data subjects regarding its use;

• Demographic information such as postcode, preferences and interests. 

We may share personal data with:

• Trusted third parties such as sub-contractors for specialist advice or other services;

• Other professional advisers;

• HMRC, law enforcement or other government and regulatory agencies, or other third parties where this is required by law;

• Professional institutions, regulators and independent review firms as part of our quality assurance processes;

• Our IT hardware and software application providers. This will be done solely for the purposes of testing, diagnosing and resolving hardware or software application issues. Data will be transported via secure means and we will have a data sharing agreement in place between ourselves and the software provider that ensures your data remains confidential.

We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so and we will not use your personal information to send you promotional information about third parties.

We retain personal data for as long as deemed necessary for the purpose for which it was collected, including as required by law or regulation. As a general rule we will retain client data indefinitely. In the absence of specific legal, regulatory or contractual requirements we will normally delete general personal data within 6 months of you leaving this firm, however to comply with regulatory requirements other data will be deleted or destroyed 7 years after we cease to act for a client. No data is retained longer than 7 years.

If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible, at the above address. We will promptly correct any information found to be incorrect.

Where we process personal data based on consent you have the right to withdraw this at any time. We do not generally process personal data based on consent as we can normally rely on another legal basis.
